Create labels in Word 2007 directly from Outlook contacts

It’s not too late to send out your Christmas cards. These instructions may help to print your labels using your Outlook contacts. Of course, you can use this all year long for regular mailings.

  1. In Word 2007, click on Mailings tab
  2. Click on Start Mail Merge and select Step by Step Mail Merge Wizard from the drop down list
  3. Select labels from the options in the blue Mail Merge box on the right of your screen.
  4. Click Next: Starting document at bottom of blue box.
  5. Under Starting document: Change document layout select Labels option.
  6. Enter the number of your labels (found on the packet or on the sheet of labels), click ok. You will get a dialog box that says Word must delete current contents of Document 1. Click ok.
  7. Click Next: at bottom of blue box
  8. Under Select recipients: click Select from Outlook contacts and click on Choose contacts folder.
  9. Select Contacts and click ok
  10. A dialog box called Mail Merge Recipients will pop up. Go down the list and uncheck the ones for whom you don’t want to print labels. Click ok when done.
  11. Click Next: Arrange your labels at bottom of blue screen
  12. Arrange your labels: Click on Address Block and then click on Update all labels.
  13. Click on Next: Preview your labels.
  14. Click Next: complete the merge.
  15. At this point you can print your labels or edit individual labels.

Staying Organized in Outlook

  1. Use Outlook Today to help you keep your day organized. This will show your Calendar, Tasks, and number of messages. (This assumes you are keeping track of your meetings and tasks in Outlook. If you’re not, it’s never too late to start.) To make Outlook Today show up when you start Outlook, in the Navigation Pane of Outlook (left column) click on Outlook Today. On the Outlook Today page click Customize Outlook Today. In the Startup area, select the When starting go directly to Outlook Today check box. Then be sure to Save Changes.
  2. Categorize your contacts. Create Categories to help you keep track of your contacts. Simple categories like Clients, Prospects, and Newsletter will help you use your contacts list more effectively. You can use the categories function in Outlook to help create mail-merges in Word to send out client letters to select groups. For example, you may want to send a letter and coupon to your existing clients. By having that category in Outlook, you can quickly and easily merge those addresses with your letter and also print envelopes.
  3. Flagging in Outlook creates a to-do item. Use this powerful tool to track your follow-up actions. In Contacts, open the entry you wish to flag. Click on the red Follow-up button. You can choose from the menu or select Custom, which gives you the option of choosing whether the follow-up is a call, meeting, e-mail, or letter. Check the box next to Reminder and you’ll get an alarm to alert you of the task.
  4. The Address Book button can be inserted on your Word toolbar to access your Outlook Contacts without having to switch back and forth between programs. Use this to print an envelope or label quickly. Here’s how you do this: In Word 2003, open Word. Choose View | Toolbars | Customize, then switch to the Commands tab. Under Categories, choose Insert. Near the bottom of the Commands list, you’ll find Address Book. Click and drag that command to any toolbar currently displayed in Word. To use it, click on the Address Book button on your Word toolbar, then double click on the address you want to print on an envelope or label. This inserts the address in Word. Select Tools | Letters and Mailings | Envelopes and Labels and click Print.
